Greenside Marketing supports golf courses with done-for-you marketing services. A big bottleneck was client onboarding: every time a new course signed up, it took an hour of repetitive admin to get them set up. I built an automation in Make.com that cut the process to just ten minutes.
The problem
Onboarding a new client meant slogging through the same manual checklist:
- Create a folder hierarchy in Google Drive
- Spin up a new Canva workspace
- Collect and paste links
- Draft and send an intro email
Each step was simple, but together it chewed up about an hour per client. Worse, small errors crept in — missing links, wrong folder names — which led to frustrating back-and-forth with clients.
Manual onboarding = repetitive, error-prone work.
Every new client meant another lost hour.
The Solution
I used Make.com to stitch the process together into one smooth flow:
- A Google Form collects new client info.
- The scenario creates the correct folder hierarchy in Google Drive.
- Links are generated and stored automatically.
- A Canva project is spun up from a template.
- An email draft with all links is auto-generated, ready to send.
What used to take an hour now runs in ten minutes. Clients onboard smoothly, and the team doesn’t waste time on repetitive setup.
The only manual step left is linking Canva designs inside emails (Canva’s API can’t embed text links yet).
A single form now drives the entire onboarding flow.
Folders, links, and templates generate automatically.
Conclusion
Before automation, every new Greenside client cost an hour of repetitive work — and still risked mistakes. By combining Google Forms, Drive, Canva, and Make.com, onboarding is now 6x faster, error-free, and largely hands-off.
What was once a bottleneck is now a smooth ten-minute flow that scales as the business grows.
