About Automanium
Automanium is a solo-founder operations and automation consultancy based in Ontario, Canada. We help small service businesses and founder-led teams build the systems, workflows, and automations that let them grow without chaos. We currently work with 7 active clients across industries including financial services, coaching, construction, and media.
The founder handles all strategy, delivery, and client relationships. This role exists to handle execution-heavy tasks that don't require that judgment — keeping delivery moving and the business running cleanly in the background.
The Role
This is a hands-on execution role. You will work across client delivery and internal operations — doing things like migrating data between tools, building Make.com workflows from provided specs, pulling key information from recordings and tutorials, and keeping the back-end of the business organized. You will be given clear instructions and examples. You follow them precisely, flag blockers fast, and don't wait to be chased.
What You're Doing
Client Delivery Support (~5 hrs/week)
- Execute hands-on tasks inside client tools — moving pages in Notion to new workspaces, copying and restructuring data from platforms like Monday.com, setting up forms and CRM fields
- Build Make.com automation workflows from provided specs and examples — you don't need to design them, you need to be able to set them up
- Review client Zoom call recordings and Notion tutorial pages to pull out action items, open questions, and next steps
- Log updates and task progress in Notion so the founder always knows where things stand
Outbound & Lead Support (~3 hrs/week)
- Research and build targeted lead lists directly inside Instantly using provided criteria (industry, title, company size)
- Verify and clean lead data before campaigns go live
- Flag campaign replies and bounces when they come in — you don't need to monitor daily, just on check-in
Operations & Admin (~3 hrs/week)
- Log receipts and transactions as directed
- Run Make.com scenario health checks — identify errors, failed runs, and flag anything broken
- Routine Notion hygiene — updating task statuses, archiving completed items, keeping databases clean
- Tool and account admin as directed (domains, Stripe, account settings)
Research & Backfill (~2 hrs/week)
- Light research tasks — tools, platforms, pricing, competitor info
- Build out Notion databases and templates from provided specs
- Format SOPs and documentation from rough notes or recordings
What You're Not Doing
- Writing cold email copy or making campaign strategy decisions
- Client-facing calls or strategy conversations
- Scoping new client projects
- Designing automations from scratch without a spec
- Any financial decisions
What Good Looks Like
- You read the brief, do the task, and flag blockers — you don't ask questions that are answered in the instructions
- Client deliverables move forward without the founder having to follow up on execution tasks
- When something looks wrong or unclear, you flag it immediately with context — not at the end of the week
- Your Notion task log is always up to date
- You get better at Automanium's tools and systems over time without being pushed
Tools
Must be comfortable with (or able to learn fast):
- Notion — all work lives here; you need to be comfortable building inside it, not just reading it
- Make.com — building and monitoring automation scenarios
- Instantly — lead list building and campaign monitoring
- QuickBooks — receipt and transaction logging
- Zoom — reviewing recordings for action items
- Loom — async updates and walkthroughs
- Monday.com, ActiveCampaign, Tally, and other client tools — comfort with learning new platforms quickly is essential
How We Work
- Async-first — nearly all communication happens through Notion tasks and Loom
- You work from a task list with clear specs, not a vague brief
- Weekly check-in to review priorities and address blockers
- You start with one or two tasks, build trust, then take on more scope — we don't hand over everything on day one
